AI meeting notes for Google Meet, explained
By MeetFlovv teamPublished Updated 6 min read

AI meeting notes for Google Meet turn a live call into a written record you can act on: a transcript of what was said, who said it, and a short set of notes with the summary, decisions and action items. MeetFlovv does this in three steps. It captures the meeting audio, transcribes it while the call is running, and writes the notes once the call ends.
This article walks through each step, what you see on screen, and what happens to your data along the way. Everything here describes how MeetFlovv works today.
What you get after a meeting
Every meeting you capture becomes a page in your MeetFlovv dashboard. The page has two parts.
The first part is the transcript. It is split into short, timestamped segments, and each segment shows the speaker's name when MeetFlovv can tell who was talking. You can read along while the meeting is still going.
The second part is the notes. When the meeting ends, MeetFlovv writes:
- a summary of the conversation in a few sentences,
- key points that came up,
- decisions the group made,
- action items, with an owner and a due date only when someone actually said them,
- open questions that were raised but not answered.
You can copy the notes or export the notes and the transcript as Markdown or plain text, so they fit into a doc, a ticket or an email.
Step 1: capture the call
There are two ways to bring a Google Meet call into MeetFlovv. Both feed the same processing, so the notes look the same whichever you pick.
The Chrome extension. You join the meeting as usual, open the extension and choose Start Notes. The extension records the meeting tab's audio and mixes in your microphone, but only while Google Meet shows you as unmuted. Nothing joins the call as an extra participant.
MeetFlovv Bot. You paste a Google Meet link into MeetFlovv and a separate participant asks to join, named after you by default (for example, "Ana's Notetaker", or "MeetFlovv Notetaker" if your account has no name; you can change it each time). If the meeting needs the host's approval, the host admits it like any other guest. The bot records the call audio from its own browser and leaves when the meeting ends or when it is the only one left. On the Pro and Business plans, you can also connect Google Calendar so the bot joins your scheduled meetings on its own. We cover that in How to auto join Google Meet with your calendar.
Not sure which to use? Google Meet transcription: extension or bot? compares them side by side.
Step 2: transcribe while the meeting runs
MeetFlovv does not wait for the meeting to finish before it starts working. Audio is sent in 15-second pieces. Each piece is transcribed by a speech-to-text service and stored as timestamped segments, so the Google Meet transcript builds up in your dashboard during the call.
Short pieces have a practical benefit too. If your connection drops for a moment, the extension retries the pieces that did not upload, and the server re-queues any piece that failed to process. A hiccup costs you a retry, not the meeting.
How speaker names are added
Speech-to-text tells MeetFlovv what was said. To work out who said it, MeetFlovv uses the speaker timing that Google Meet shows in its captions. Each transcript segment gets the name of the person whose speaking time overlaps it the most or, when nothing overlaps, the one speaker closest to it within about two seconds.
When the timing is unclear, for example when two people talk over each other, MeetFlovv leaves the name blank rather than pick one. A blank name is easier to fix in your head than a wrong one. Google Meet transcript with speaker names goes into more detail.
Step 3: write the notes when the call ends
The notes are written once, after capture stops and every piece of audio has been transcribed. MeetFlovv does not call the AI model during the meeting. It waits for the full transcript, so the meeting summary reflects the whole conversation rather than the first ten minutes.
Long meetings are handled in sections. The transcript is split into parts that each fit comfortably into the model, each part is summarized, and the section summaries are combined into the final notes.
The model is instructed to stick to the transcript, so the notes stick to what was said. If nobody said who would do a task, the action item has no owner. That is deliberate. Notes are only useful if you can trust them, and an AI notetaker that fills gaps with plausible guesses creates work rather than saving it.
While the notes are being written, the meeting page shows that they are in progress. When they are ready, the page updates on its own.
What happens to your audio
Audio is the most sensitive part of a meeting, so MeetFlovv keeps it for as short a time as it can. Each audio file is deleted right after it has been transcribed; audio that has not been transcribed yet is kept so MeetFlovv can retry it. The transcript and speaker timing are kept for 48 hours after your notes are ready, then deleted. Your notes stay until you delete the meeting or your account.
If something goes wrong while the notes are being written, MeetFlovv keeps the transcript so the notes can be generated again, rather than deleting it on schedule. Meeting recording privacy: where your audio goes explains each step and the services involved.
One more thing that matters: you are responsible for telling people that the meeting is being transcribed, and for getting any consent your local law requires. The bot always appears in the participant list under its own name, and it cannot get past a waiting room or host approval.
Getting good notes
A few habits make the notes noticeably better:
- Keep captions on in Google Meet. MeetFlovv tries to turn them on for you, and speaker names come from caption timing, so leaving them on helps MeetFlovv put the right name on each line.
- Say decisions out loud. "So we agree to ship on Friday" becomes a decision. A nod does not.
- Name the owner and the date. "Priya will send the draft by Thursday" gives the action item an owner and a due date. "Someone should send the draft" gives it neither.
- Close with a recap. A 30-second summary at the end gives the notes a clear final word on anything that changed during the call.
None of this is special to MeetFlovv. It is how good meeting notes have always been made. The difference is that you no longer have to write them yourself.
Try it on your next call
You can start on the Free plan with the Chrome extension or MeetFlovv Bot, and see the transcript and notes from a real meeting of your own. Plans and limits are on the pricing page, and the full feature list is on the features page.
